Johannessen and Olsen (2010) noted “with this economic landscape, knowledge itself became a factor of production—specifically, knowledge related to identifying and exploiting new ways to establish temporary competitive advantage” (p. 502). Their observation reflects that under today’s business environment, the ability to optimize information is a significant factor that enables such companies to succeed their businesses. However, the use of information is more important than just limited in business practices, also for everyone living and other professional arenas (Badke, 2009; Turusheva, 2009). Educational institutions in which are responsible for teaching students to ingrain knowledge that uses for achieving their living and professional may need to focus on improving teaching students efficiently of using information competence that will enable students how to use information effectively and accurately.
The Change of Using Information
Today’s operating business, companies have changed the way of using information to sustain their performances entirely different from they used to do. Recently, companies used information that generated from research and development (R&D) either was a department inside the company or hiring any R&D company from outside. Information that a company received from R&D department typically based on the company’s need (Johannessen & Olsen, 2010). The new business strategy as customer centric in which companies operate their businesses by generating information through customers, prospective customers, and consumers to find their needs, and satisfy them (Johannessen & Olsen, 2010).

In the application of both perspectives knowledge is perceived in two types which include tacit or implicit knowledge and explicit or objective knowledge (Hislop, 2013). In regards to tacit knowledge Hisplop (2013) described it as, "...knowledge which is difficult to articulate in an explicit form, is regarded as more informal, more personal and individualized, less rigorous and highly subjective, being embedded within the cultural values and assumptions of those who posses and use it" (p. 18). On the other hand, explicit knowledge is described by Hislop (2013) as being, "...expressed in formal and systematic language and shared in the form of data, scientific formulae..." (p. 18-19). Both types of knowledge according to Hislop (2013) are utilized differently by both the objectivist and practice-based perspective. The objectivist prefers the use of explicit knowledge and claims that both types of knowledge are separated from one another and believes that tacit knowledge can be converted to satisfy its process of codifying information to make it more transferrable (Hislop, 2013). The practice-based perspective, in contrast, believes that both types of knowledge are inseparable and work together to develop in part explicit knowledge bust most of all a system of management that focuses on activities involving both the mind and body (Hislop, 2013). These differences will undoubtedly generate both problems in challenges in the application of information management in an organization. With today’s rate of development in technology, there has also been an immense increase in global information sharing. Innovations in technology and design seem to be emerging in the market almost every month. One of the key aspects of any business is to gather, organize and efficiently apply this information. According to Antonic (2005), economic assets are fast becoming of secondary importance in the market as companies ascribe more importance to intellectual capital. With the right application of Knowledge Management methods, companies can achieve a competitive advantage through managing the immense amount of information available (Balanced Scorecard Institute, 2002).
In order to understand and gain knowledge, learning theories stress the importance of creating a relationship between all pieces of information, the learner, and the environment. It is the responsibility of both the teacher and the learner to link the appropriate information together. If students can develop a relationship for the "underlying reasons for ‘how’ and ‘why’ to use specific procedures, they will be able to store this information as part of their knowledge network," and develop links with other pieces of information (Gersten and Baker, 1998, p.24). On the contrary, if learners learn facts of information that are isolated from a meaningful context, their understanding is often incomplete and meaningless. As a result of these linked relationships between individuals and environments, knowledge is the prevailing outcome. In summary, "knowledge is situated, being in part a product of the activity, context, and culture in which it is developed and used (Brown, Collins, and Duguid, 1989, p.32).
We live in an “information or knowledge” society and there is a need to keep up and invest time in acquiring the “new” knowledge due to the proliferation of communication and information technology. An example is the accessibility of information in the palm of the hand of every citizen in the near future. These factors had resulted in the transformation of the “old” industrial and manufacturing societies to the new “knowledge-based” ones. When planning to implement a document management system, there are many factors to consider. First you have to consider how you want to store your documents, be it electronic, paper format, or both; you have to have adequate storage space. Next you have to decide whether you are going to attempt to archive old documents your organization has in storage. A major factor in determining the format you are going to save your documents in is to decide the length of time you wish to keep you documents and the amount of space you have in which to keep your documents. If you are going to keep your documents in a paper format you have to keep in mind the amount of space it will take to store them. Another consideration when determining storage of your organizations documents is how you want to organize your documents be it chronologically or subject based, you need to decide what works best for your organization. And lastly you have to decide how you are going to take those old documents, created before computers, and turn them in to a format which can be stored electronically. There are many different formats which can be beneficial when keeping an archive of documents. There are many reasons why documents need to be managed. First and foremost they serve as a historical log of where your organization came from and they will help shape where your organization can go in the future. Documents can be a reference of how past projects were worked and offer practical solutions for issues which come up in all projects.
