Ability to learn business change management within an ICT project environment.
When working on a project it is extremely beneficial to follow a structured project management process, to ensure the highest quality outcomes are achieved. This process begins by deciding the desired outcome of the project and identifying the required resources. At this stage it’s important to have a initiation meeting with key stakeholders to explain the premise of the project and the overall goals. The second stage involved planning how the project will operate and will create guiding documents such as the project plan, timelines and stakeholder lists. The roles and responsibilities of those involved in the project (both project officers and stakeholders) will also be defined. Once planning is complete it will be implemented under close monitoring to assure the changes are producing the desired outcomes. At the end of a successful project the last step will be to finalise the relevant paperwork and complete a review process to highlight strengths and weaknesses of the project.
As a project officer working on Service Strategy and Design my team was tasked with assisting the Surgical Services Group (SSG) in the transition from Nambour General Hospital to the Sunshine Coast Public University Hospital (SCPUH). Our first step was to hold an initiation meeting with the key stakeholders to identify what the end goals were, which were to complete a suite of documents outlining how the SSG will operate at SCPUH. The project plan, timeline and stakeholder lists were drafted and sent out for feedback before finalisation and the first round of consultative meetings began. ...ompleted within the timeframe given. These involved a high deal of multitasking as many of the documents were interconnected and needed to be worked on at the same time. To make sure the team was on track to meet deadlines I prioritised tasks according to their importance and impact on further tasks. For example, if a clinical director was going to be unavailable for a length of time I would prioritise documentation relating to their area so they would be able to be involved in the process and offer feedback. While working on the project I learned the importance of seeing the bigger picture - while individual tasks and goals are important (i.e. one document) it’s necessary to remember what the end goal is and how each task fit into the overall outcome. This concept also allowed me to better time manage my tasks and utilise the pre-planned deadlines more efficiently.
