Investigating Two Types of Communication Systems in School



Terms of Reference

In my coursework I am going to investigating two types of
communications systems in the school. These two communications systems
are internal communication and external communications. Internal
communication in school takes place between the teachers, parents and
pupils etc.(people in the school).. External communication in the
school takes place between the schools and organizations outside of
the school.

The aim of this report is to find out about the communication systems
in the school. Once I have found out about the different
communications systems I will look at how to improve them.

There are many objectives that Myton School has. One objective is Mr
Hecks (Head Teacher) believes in is the education in the school .I
know this because he said 'the education of the children is of the
utmost importance'. Another objective of the school is to have a good
reputation so more children will come to the school. A second
objective is to keep the school running smoothly. This is done by a
staff meeting held every Wednesday to make sure everything is running
smoothly. Another objective is to collect information such as personal
details about the staff and pupils.

The school needs good communication so people can pass information
between others so the school can run smoothly. Information is pass to
pupils by the teachers through the assemblies, the school bulletin and
the Myton messenger. The school also needs good communication to clear
up problems. This is done by parents been able to phone into the
school.

Procedure

To collect information for my coursework I could use desk research is
also known as secondary research. I could write letters speak to
people, face to face, use telephones, send emails and send a fax. Desk
research uses a wide range of sources on the Internet. An advantage of
desk research is it's free and already available. To assess the
research you need to find the relevant information, which already
exists in some form, and then turning this into research to support
your report. A disadvantage of desk research is it's often out of date
and can be inaccurate or not give the exact information you require.

Field research is known as primary research as well. Field research is
carried out in questionnaire, surveys and interviews. It can be aimed
at a specific audience. The research is original and expensive. The
advantage of primary research you carry out the research by yourself
so you can ensure no mistakes are made and you can also make sure you
get the right type of research you are looking for. A disadvantage of
primary research is it's time consuming and hard work to get all the
research you need.

The best type of research I think is field research because it
provides accurate data even though it is expensive but having accurate
data is better than having out of date data like desk research
sometimes provides.

There are many different types of primary research for example there
is postal survey, face to face and telephone survey. A postal survey
is a good formal method. It is carried out by sending out
questionnaire so information can be found out. Postal surveys are most
appropriate where questions are simple, factual. An advantage of a
postal survey is

People are likely to take there time on filling theses questionnaires
and they are also likely to be honest which is good because you can
get he correct information. An disadvantage of a postal survey is most
postal surveys end up in the bin because people cant find the time to
fill them out, so this means that the questionnaire are only filled
out by the same type of people. This could lead to incorrect data.
Another disadvantage is a subject cannot be discussed further so this
mean not following up questions can be asked. This type of method
would be carried out by me putting questionnaire in 10 of the teachers
pigeonhole and then collecting it through my form tutor.

Another type of primary research is a face-to-face interview. A
face-to-face interview is a very social way of committing. It allows
the interviewer to see whether the person he o she is getting the data
form is telling the truth. An advantage of face-to-face interview is
follow up questions can be asked; this would help because more data
can be obtained. Another advantage is the interview can explain what
he or she is trying to find out, this can be done with products and
picture. This would help the person been asked the questions so see
what the interviewer is trying to find out, this is good because it
will be much easier to get the data you need. A disadvantage of a
face-to-face interview is interviews can be expensive to set up or
even time consuming to set up. Another disadvantage is some response
might be biased because they don't want to be honest into front of the
interviewer. This type of method would be carried out by me
interviewing a teacher in school so I could get my information.

One other type of primary research is a telephone survey. Telephone
surveys are carried out mainly if you want a geographically sample. An
advantage of a telephone survey is you can get a wide range of data
from different places and its more convenient because you don't how to
make or move anything, you can just ring from your desk. A
disadvantage is its very expensive unless you ask a few people but by
doing this you may not get a wide range of data. Another disadvantage
is many people may not want to stay on the phone for long because they
may be waiting for other calls or are just not comfortable with using
the phone, this could lead to people not answering the question
correctly. Another disadvantage is body language can not be obsessed,
this means the researcher can not see if the person being interviewed
is telling the truth. This type of method would be carried out by me
phoning up the school asking to speak to one of the teachers to get
the information.

The best method in school is to use is interviewing one of the
teachers because this way you can get there attention whereas if you
gave them a questionnaire I don't think they would full them out
because they are busy with other things. I don't think a telephone
survey is a good idea because you would never be able to get hold of
one of the teachers so that would be a waste of time.

Findings

This is a questionnaire to investigate two systems of communication
that are in the school. The two types of communication that we are
trying to find out are external communication and internal
communication.

In this graph shows oral form communication is the most used. I think
this is because people find it is a fast way of communicating.
Telephones and mobiles ensure people are contacted quickly. The least
used is non-verbal; I think this is because non-verbal communication
gets misinterpreted so people don't use it.

This table shows that people find oral communication the easiest. I
think this is because oral communication provides feedback. This is
good for teachers because they need feedback quickly because a problem
came up with a pupil they could sort it out quickly. The second
easiest form of communication people find is sending letters. I think
is because it very easy to write a letter but it's a very slow and
less personal method. This table also shows that nobody said they
found visual, electronic and non-verbal easy. I feel this is because
these types of methods are more complicated to do for example visual
will take time to produce and electronic I find people think it's to
hard for them to do.

This table shows that teachers think oral communication is the best
way to communicate with another member of staff. I feel this is
because oral communication provides a two way system so information
can be received quickly so for example if a teacher wanted to talk to
another teacher about what work to set for pupils it information for
that could be received quickly. Some teachers also said they use
written forms to communicate with other teachers. I think this is
because written forms are short and to the point so information will
be received quickly but written notes can be misplaced that's why I
feel the majority chose oral communication.

This table shows that teacher's think the head teacher responds to
reports the most. This is because reports usually are results of some
sort of investigation. I was not shocked that people didn't think
email and telephone was a good way for head teachers to respond
because they get loads of telephone and email call so they may not
respond as quick to you.

The graph and table show teachers use face-to-face more to communicate
with different members of staff. This is because problems can be
sorted out quicker in the different departments. I was surprised that
email was a little higher then I expected. This proves that teachers
are getting more comfortable in using email. I think nobody said they
would use telephone to communicate with another member of staff
because not every department has a phone because it costs money to set
up one.

I think teachers said that the best way of communicating with a pupil
is face to face because if a pupil had a problem and a teacher talked
to the pupil face to face the problem would get sorted out quicker
because feedback is received quicker. Some teachers chose reports
because if a teacher wanted to write a report on a pupil the teacher
could send the report to other teachers and the pupil. The report
helps other teachers communicate with the pupil as well as one.

The table shows teachers prefer to communicate with parents by letters
because it provides the teacher and the parent with evidence to show
that the letter was written. The table also shows teachers think
telephone is a good way to communicate with parents because it's a
fast way to get instant feedback but there is no evidence to say the
conversations taken place. Nobody picked email because not a lot of
parents and teachers know how to use email.

I think teachers chose email because it's a fast way of communicating
even though people have to check their email regularly. Also teachers
chose email because attachments can be put on an email. For example if
a teacher wanted to send the company who are providing the
accommodation, the teacher could put an attachment of the children's
name on the email. The teachers chose letters because it provides
evidence. This is good because it show that a teacher has contacted
the company to make rearrangements about the accommodation.

The table and the graph show that equally number of people chose
email, telephone, written, visual, electronic but nobody chose
non-verbal this is because sometimes people don't pick up of verbal
and they can also be misinterpreted.

The to graphs show the same thing. The one that is clearer to see the
information is the pie chart because its easily understood and more
visual than the column graph. For example if someone saw both these
graphs, they would instantly see on the pie chart that a equal number
of people chose and telephone, written, visual, electronic and nobody
chose non-verbal because it not even shown on the pie chart.

The table shows that most of the teachers thought the main reason to
have good communication was to keep the school running. I think only
four people said that good communication was to clear up problems this
is a factor of keeping the school running. I think nobody said good
communication was needed to get a nice environment and to have a good
image of the school because you don't have to have a good image or a
nice environment as long as the school is running.

Q11.I think a good idea to communicate with another member staff in
the same department is to us walkie-talkies. Do you think this would
work?

The graph and table shows that only seven people think it's a good
idea to use walky talky but 13 don't. Those 13 people may think that
using walky talky are childish and expensive. Also they may not really
know how to use them.

Conclusion

By looking at my results I can see that there are some problems with
the communication in Myton School, however the majority of the
communication systems are well used and efficient though there are
some changes I would make.



Internal communication
======================

The problems that a raised internal communication are if you wanted to
communicate with a teacher in the same department, teachers use oral
and written methods. This is good but as the 21st century teachers
need to get to grips with email so I think some teachers should have
said they contacted a member of staff in same department using email
especially in they work in I.T. The margoryity of teachers said they
would use face to face to contact a member of staff in a different
department but again I think more teachers should have said email
because messages can be sent any time. Teachers said they use face to
face to contact a pupil, this is very good way of communicating and
there are no problems here. The main problem that has risen in
internal communication is not many teachers use email.



External Communication
======================

Most teachers said they communicated with parents by letters but a
pupil could easily not give his/her parent the letter. This prevents
the parent from knowing the information. This is a problem teachers
need to think about. Most teachers said they contact a company by
email but isn't really a good I idea because an email could be
forwarded to other companies without the users consent. I am very
surprised there was a equal number of teachers saying they preferred
written, oral and visual and electronic because I thought everyone
would say oral because its easiest.

Oral communication was the most popular even though it's the most used
there is still implantation with it. For example The Pupil Bulletin
messages suppose to be read out everyday but it doesn't always reach
the students they are aimed at. This could be due to teachers not
reading out the bulletin and it is possible that supple staff don't
always know the school system so in which case don't read out the
bulletin as they do not that have to.

Written communication was the second popular. Teachers said they found
this the second easiest to communicate with. I think written came in
second because there is still implantation with it for example
messages that need to be sent to staff or pupils may have problems as
telephones are not always answered and sometimes the person may not be
available. If a pupil is sent a note or memo it is possible that the
messenger might read it, which is an invasion of privacy. It could
also occur that the pupil sent could not find the person, causing the
message not to be received at all and wasting time. This also occurs
if the message is put in a pigeonhole meaning it may not be found for
a long time.

Electronic communication wasn't mentioned that much in any of the
questions this shows people find it hard to communicate with
electronic communication. I think this is because not many people are
trained in using computers for example they can't use email. Another
reason why people find it hard to communicate by electronic
communication is because they are not surround by it because not
everyone at school gets to have access to a computer.

The best communication system is internal communication because most
people chose a best way to communicate with each other inside.
Teachers still need to think of a way to communicate with parents a
bit more to tell them how their child is doing. Teachers also need to
communicate with other organisation in a more fast and effect way
because at he moment they are using email which good lead to the
school details been passed on.

Recommendations

The main problem internal communication is not many teachers know how
to work email or use it enough in times when it is the best form of
communication One way the school could improve on this is train
teachers to use email. This way they will know how to use email and
hopefully be able to communicate with email. One way teachers could
train to use email is by having there own computer to improve.

advantage of this computer is it suitable for schools. A disadvantage
of this computer is the cost. It would cost quit a bit of money to
supply every teacher with this computer when there is about 119
teachers at Myton School. To get around this problem maybe groups of 3
could share a computer to reduce the cost. Another disadvantage would
be on the environment because by using more electricity more power
stations are being built causes damage to the environment. I think the
staff will be able to use the computers because once they have learnt
the basics they will be able to teach themselves. For these computers
a log in system will need to be set up to protect other users
information plus more security will be needed. I think by having more
computers will improve and help the school because more teachers will
be more qualified to teach the pupils and to improve the communication
system at school.

Another way the school could improve is to find a way to communicate
with parents faster. Communicating with parents would ensure that
parents knew about how their child was behaving One way parents could
communicate with teachers would be with a pager. The pupils form tutor
would have a pager and when the pupil was behaving badly ,the form
tutor could page the parent telling them about their child's
behaviour.

advantage of the pager would be the cost. The disadvantage would be
not many parents may not want to carry around a pager when they are at
work or they may not even be aloud. I think having the pager would
ensure all pupils would behaviour themselves because they wouldn't
want their parents to know how they will were misbehaving, this would
help to improve the school because the number of troublemakers will go
down making everyone learn more.

Another way the school improve is communicating with other teachers.
To improve on these teachers could use walkie-talkie. An advantage of
a walkie-talkie is it provides quick information in the school for
example if a teacher wants to talk other teacher about a pupils
behaviour could sue the walkie talkie. These two walkie talkie (see
below ) are cheap and effective. Every department should have a
walkie-talkie in a safe place, to prevent stealing. It easy to use a
walkie-talkie so no training needs to be given. A disadvantage would
be if the walkie-talkie breaks then money would have been wasted which
the school can't not avoid to do.

The best method to use in school would be the pager because it's the
cheapest and the most effective. I believe in the pager was used in
school behaviour would be better and then would make the learning
better and learning is what the school strives for pupils to do. The
computer would be to expensive in school and many things could go
wrong with the computer making it even more expensive to fix. I don
think many people would use the walkie-talkie because they may think
it is babyish or they want to speak to staff in person rather than use
electronic communication. Overall I would defiantly consider having a
pager given to every parent and teacher, the cost may be a little
expensive but the pager will be really effective because it will make
the parents more a ware of what is happening in the school.
