In the modern workplace communication between parties and information sharing have become more important than ever. Organizations move at a much faster pace than ever before and efficient communication is a must. Furthermore the tools that allow organizations to work, produce or communicate faster are becoming increasingly important. This types of tools fall under the category of office automation and the communication aspect falls under group collaboration.
Office automation is in its simplest form is any machinery and/or software that facilitates the manipulation or sharing of information that is needed for the day to day operations of the organization. Things like LAN (for information sharing and access), telephone switchboard, office software (word processing, email, presentation), adobe acrobat (for PDF files), among others, basically any machine or item that make the information sharing, management or manipulation easier for the organization can be considered part of the office automation process. On the other hand we have group collaboration this is normally some software that facilitates the communication between a group of people, mostly centered on a goal, project or a common interest that bring them together. This could be a shared email list, a shared activity/meeting calendar, access tom the same files (for example a shared hard drive between them where they all have access to a group of shared files). Another type of group collaboration can be websites where groups can meet and share information, for example Yahoo Groups, Excite Groups, MSN Groups, this websites offer memberships to a groups, where people with similar interests of goals can interact. They also provide some tools to facilitate this like message boards, mass group emailing and areas to share photos or files which all group members can access at their leisure.
The authors company uses many varied office automation software which allows for an easier form of workplace interaction and improved efficiency, but many of this office automation items also have disadvantages which must be dealt with as they appear. The man item of office automation in the authors company is the LAN (local area network) which connects all of the workplace computers to a main server and allows them to interact with each other. Among the items that the local area network bring to the table are global internet access which provide access to all the network computers, access to Microsoft Outlook in real time (message sent appear almost instantly), access to shared hard drives for information exchange and access to the company's CSG system (this is the system where all the customer data and services are accessed and modified.
The project that will be examined is an upgrade to our main Human-Machine Interface (HMI) software: Cimplicity, to SQL Server and to the Windows OS. Cimplicity is a product of the GEFanuc group of General Electric. This group develops a full suite of applications used in the manufacturing environment. By way of introduction, the manufacturing floor environment uses a variety of types of equipment. To control these machines, a specialized computer is used. For the purposes of simplicity (not the program), this paper will refer to them all as PLC's or Programmable Logic Controllers. Most of these PLC's are accessible via the ethernet and communicate to our Protocol Data Units (PDU) in the computer room. These PDU's have Cimplicity installed on them in the form of projects that are named for the various areas or functions of our plant such as GA or General Assembly. The project we are undertaking will be a fundamental change to these PDU's in our computer room. The servers currently run Windows NT and will be upgraded to Windows Server 2003 or Windows 2000 and SQL Server will will be upgraded from version 7 to SQL 2000.

The use of technology allows companies to be more dynamic and adaptive to changes by allowing instantaneous communications via interconnected computer networks. This dependency on information and communications technology has evolved these emerging technologies as crucial tools for providing operational support to business communications tasks (Wilkinson, 2006). This type of virtual team building allows members of the team to positively use a repertoire of communication networks facilitated by technology. Although technology is not hassle-free, the positive aspects far outweigh the negative aspects. As a result of communication issues being related to human factors, virtual members must be able to communicate effectively to establish trust to gain consensus, agreement and the ability to influence. To positively establish trust, communication should be done synchronously through shared whiteboards, application sharing, video/audio conferencing and virtual meeting rooms so that all team members are getting the same information. As a result of the team synchronously collaborating, they can now positively asynchronously communicate through document sharing tools, group calendaring and newsgroups. Any negative aspects can be overcome by the trust that the team members have with each other. Positive problem solving can for the most part be done quickly through voice mail or instant messaging. Furthermore, positively managing a virtual team means being able to solve problems electronically by e-mail or voice mail. Additionally, video conferences can be scheduled weekly to gather all team members to engage in the project team building. Although virtual teams are a flexible way to work, problem solving can be, for the most part, done in a timely fashion and any negative qualities can be dealt with on an as needed
The tools available today to facilitate communication in the virtual world are varied. As Pauleen and Yoong (2001) cites, "Virtual teams may communicate and work synchronously or asynchronously through such technologies as electronic mail, bulletin boards, audio/video/data conferencing, automated workflow, electronic voting and collaborative writing (Coleman, 1997)" (p. 2-3). Each of the tools available for communication have different idiosyncrasies, and some are more suited for selected tasks than others.
